Why does everything have to be sent by FedEx or UPS overnight? It seems as if no one uses regular mail anymore. Our shipping costs are sky high, and I’m wondering why you think that everything needs to be sent by overnight mail. Are recipients really going to use this information immediately?

If you would just plan a little more carefully, instead of waiting to the last minute, I’m sure we could reduce our costs considerably! After all, UPS ground service costs a lot less, but it does take three or four days—and that would mean planning ahead. Even cheaper is fax; it costs only about 35 cents for a long-distance call. E-mail is even cheaper.

Has anyone thought of using the receiver’s FedEx number? If someone really wants to receive a letter or package fast, let him pay for it. That could save us a bundle!

The bottom line is this. If we don’t cut our shipping costs in half in two months, the CEO will restrict all overnight shipments. That means no more FedEx! Enough said!

SUBJECT: REDUCING OVERNIGHT DELIVERY COSTS

Overnight delivery services are wonderful, but they are costing us too much money. To avoid rigid future restrictions imposed by the CEO, I’m asking you to voluntarily reduce your use of these delivery services by 50 percent in the next two months.

Rather than face a ban on ALL overnight services, let’s work together to reduce our costs. Here are some suggestions:

  1. Ask yourself whether the recipient will really use the information immediately. If not, use a cheaper method.
  2. Send messages by fax or e-mail. A long-distance fax costs only about 35 cents, and e-mail is even less.
  3. Use the FedEx or UPS account number of the recipient.
  4. Plan ahead so that you can use UPS ground service. It takes about three or four days.

Some overnight shipments, of course, are critical. So that you can continue to make those shipments, we must cut our overall use by one half—before May 1. If you can think of other ways to reduce overnight shipments, please send me a note. I appreciate your cooperation in retaining our mail budget.
